How to word a certificate

The six parts of certificate wording

Nearly every certificate, from a course completion to an Employee of the Month award, is built from the same parts in the same order.

  1. 01

    Title

    “Certificate of Appreciation”

Names the certificate. Three or four words is plenty, since it's the largest text after the recipient's name.

  2. 02

    Presentation line

    “Proudly presented to”

Leads into the name. "This is to certify that" for completion and compliance, "awarded to" for something earned, "congratulations to" for a celebration.

  3. 03

    Recipient name

    “Jordan Lee”

Spelled exactly as the recipient writes it. If the certificate can be verified, this is the name an employer will check.

  4. 04

    Description

“for leading the move to the new customer platform.”

One or two sentences on why it's awarded. "For leading the platform migration" says far more than "for hard work."

  5. 05

    Date

    “October 15, 2026”

When it was earned or presented. Very formal certificates spell it out: "this fifteenth day of October, 2026."

  6. 06

    Signature and issuer

    “Sam Rivera, Head of Operations”

The name, title, and signature of whoever is issuing it, with the organization's name or logo.

Tips

Making the wording your own

  • Name the specific thing they did. A project, a number, or a course title makes the certificate theirs and nobody else's.
  • Match the tone to where the certificate will end up. Something that goes in a portfolio or a compliance file should be formal. Something pinned to a desk can be warm.
  • Keep the description under about 35 words, so it fits on two or three lines without shrinking the type.
  • Read it aloud as if you were presenting it. If it sounds stiff or odd spoken, rewrite it.
  • Check names, course titles, and dates against your records. A certificate is a record, and typos are hard to take back once it's printed or shared.

Frequently asked questions

About certificate wording

What should a certificate say?
Most certificates follow the same order: a title ("Certificate of Appreciation"), a presentation line ("Proudly presented to"), the recipient's name, one or two sentences on why it's awarded, the date, and the name, title, and signature of whoever is issuing it. The generator writes the title, presentation line, and description. You add the name, date, and signature.
How do you word a certificate of appreciation?
Say who it's for and exactly what you're thanking them for. A formal version reads: "This certificate is proudly presented to [Name] in sincere appreciation of your dedication and commitment to [what they did]." For a team celebration, something warmer works better: "With heartfelt thanks to [Name] for [what they did]. You went above and beyond, and it did not go unnoticed." See the appreciation examples.
What do you write on a retirement certificate?
Name the years of service and the organization, then thank them for what they gave it. "In honor of 30 years of dedicated service to [Organization]. Your loyalty, wisdom, and contributions will be remembered and deeply missed" is a common formal version. Lighter retirement wording usually closes by wishing them well in the next chapter. See the retirement examples.
Should certificate wording be formal?
It depends on what the certificate is for. Course completion, compliance training, and academic awards read best in formal language, because the certificate is a record someone may show an employer or auditor. Internal recognition, team awards, and kids' certificates land better when they're warm and personal. Short wording suits compact designs, badges, and certificates printed on cards.
Should I write "presented to" or "awarded to"?
"Awarded to" suggests the certificate was earned or won, so it suits achievement, excellence, and competition awards. "Presented to" is neutral and works for anything. "This is to certify that" is the standard opener when the certificate confirms a fact, such as completing a course or passing an assessment.
How long should the description be?
One or two sentences, roughly 15 to 35 words. That fits on two or three lines at a readable size on an A4 or US Letter certificate. If you need more space to explain an achievement, put it in an accompanying letter rather than shrinking the type.
Can I use these wording examples for free?
Yes. Copy any wording, edit it as much as you like, and use it on certificates for work, school, or commercial events. No attribution is needed.
How do I put the wording on a certificate?
Copy it, open the free certificate generator, pick a template, and paste it in. You can download the certificate as a PDF or PNG without an account. If you're issuing the same certificate to a whole group, CertSeal can fill in each recipient's name from a spreadsheet and email every certificate out with its own verification link.

Issuing the same certificate to a whole group?

Write the wording once. CertSeal fills in every recipient's name from a spreadsheet, gives each certificate a verification link, and emails them out. Free to start, no credit card required.
